Instructions for preparation of Abstracts for Publication

1. OBJECTIVE
     This note is to inform Authors on the preparation of a 1-2 page Abstract for inclusion in the Book of Abstracts, which would be given to every participant on registration at the International Conference on Coastal and Freshwater Issues.
     The abstract must be submitted in electronic form preferably by email, as an attachment to the address cofis2003papers@yahoo.com. This address is not to be used for correspondence, but only for submission of abstracts and papers. Every abstract received will be acknowledged. You may assume that any unacknowledged abstract has gone astray.


2. DETAILS OF FORMAT
     The abstracts must be confined to 2 pages. The Selection Committee reserves the right to edit the abstract if the contents exceed the 2-page limit. Please do not include figures or page numbers in the Abstract.
     The Abstracts can be submitted in digital format but in such cases shall be finally printable in WORD.doc formats or they can be submitted in printed A4 format for direct copying. The Secretary, Paper Selection Committee will not alter or finally edit abstracts submitted.
     The format to be followed is the format used in this instructions and as given in Table 1:

     The font to be used shall be ARIAL and size 10. The paper shall be written in block format (i.e. paragraphs shall not be indented). The paper title must be written in bold and font size 14 and centred, the title shall be not longer than 2 lines, capitals shall be only used as in the normal English writing. (i.e. "Title Case" should not be used). The names of authors should be written centred below the paper title and written in bold font size 10. The given (Christian names or forenames) can be abbreviated, titles must not be included. Further information including title, designation and main affiliation can be given at the bottom of the first page as footnotes, but this is not mandatory. Commas should be used between names of authors and "and" between the last two names.
      The text shall be single line-spaced, and there shall be paragraph spacing of 6pt before each paragraph and zero pt after (see MSWord format/paragraph/). There must be one extra line-space between the end of previous text and the start of a new section. Headers for sections shall be numbered and written in bold 10 size font.

3. CONTENT
      The authors are free to include into the abstract any details of their proposed papers. The Secretaries Paper Selection Committee reserves the right to reject an abstract if the essence of content does not bear reasonable resemblance to the abstract submitted to the Paper Selection Committee. Authors shall have the main objective of the Book of Abstracts in mind. The abstracts shall inform participants on the main subject, main methodology of study and important results. Authors shall keep in mind that they are very familiar with the subject whereas others might not be familiar with the location, the subject or the basic methodology. The Abstracts should be understood not only by those experts working in the same area, field or with the similar methodology but also by other coastal and freshwater scientists who are not familiar with these. References to other publications, papers etc. are not required in these abstracts and shall be only used if required to avoid misinterpretation.

4. CONCLUSION
  
   Some abstracts describe a planned, ongoing or completed project or research study in its entirety and it clear that a conference paper of limited length will not be able to include every detail. Therefore, Authors are advised to include at the end of their abstract, a very short (not longer than this section) summary of what they will include in their full paper and what would be discussed in the oral paper presentation.

Instructions for preparation of Papers for Publication

ABSTRACT
      In case of your paper being selected for presentation at COFIS 2003, a full paper must be submitted for inclusion in the Proceedings. As you are aware, an extended two page Abstract of your paper will be published in the Book of Abstracts.

1. INTRODUCTION
     The Conference Proceedings will be published through an international publishing company. The papers may be submitted in PDF format or as an MSWord file (Word 2000 or earlier versions). We prefer you to submit the papers in PDF format and we expect the Authors must take full responsibility for the quality of the paper. The Abstract presented here should be brief (maximum half a page) and contain the relevant facts and an overview of the paper.

2. PREPARATION OF THE TEXT

2.1 General
     These instructions are prepared to help you to prepare the paper. The instructions contain details like tables, figures, equations and references. Take the instructions as an example, you just prepare your paper the same way and it will be excellent.

2.2 Title
     A short title of not more than 75 letters should be provided at the head of the document. The title should be centred and in capital letters, in ARIAL font size 14.
     The authors' full names must be given below the title. Authors' titles, designations, institutional affiliations and the email address of the corresponding author are if possible to be displayed as footnotes at the bottom of the title page.

2.3 Paper Length
     The total length of the paper, including figures, tables, equations and references, should not exceed 20 pages. The size of the file (in MS Word format) shall not exceed 2 MB under any circumstances.

2.4 Format
     The paper should be prepared on A4 paper size, portrait layout, with margin settings on MSWord as shown in Table 1.

The text is to be done in ARIAL font size 10 in the main text of the paper.
     
Section Headings are to be written in bold, capital letters, and sub-headings to be in bold, normal text, and sub-sub headings bold, italic normal text. No underlining to be used. Use full justification. The line spacing is to be as follows for normal text and paragraphs,
    
 Single line spacing with 6pt spacing before and 0pt spacing after (each line feed) are to be set in MSWord menu format/paragraph/indents and spacing/. Double line feed must be used before the end of one section and the title of the next section or sub-section. The 6 pt spacing could be removed within tables and lists, if necessary.

2.5 Figures and Photographs
     All figures should be embedded in the MSWord file so that you send only one file for inclusion in the Proceedings; an example is given as Fig. 1. Figures should be always referred to in the paper. Colour images are permitted and care should be taken in using an appropriate resolution to stay within the 2MB size limit for your paper. Text in the figures should be legible when viewed on a computer screen at 100% zoom view. Figure captions should be set text size and centred below the figure and in bold type. All figures to be numbered sequentially, i.e. Figure 1: Summary of Methane cycling activity in mangrove ecosystems. Leave one line space between caption and text.

2.6 Tables and Equations
         Tables must be pasted or printed in place, with the caption (e.g. Table 1: Paper format for papers) centred at the bottom of the table in bold type. All tables are to be numbered sequentially.

     Equations are to be in italics and centred with the equation number flush right. Throughout the paper only the equation number (1) is used in the text, enclosed in parenthesis, (without the prefix Eq.), except at the beginning of a sentence where the word Equation will be used.


2.7 Page Numbering and header
      The pages of the paper should be numbered consecutively, with the numbers placed at the centre bottom of each page. The header of the paper should include centred in bold type: COFIS 2003, Chennai, India (Arial Font Size 9)

2.8 Keywords
     A list of 5 key words must to given at the end of Page 1.

3. PAPER SUBMISSION

      The paper must be submitted in electronic form on a Compact Disk or, preferably by email, as an attachment to the address cofis2003papers@yahoo.com. This address is not to be used for correspondence, but only for submission of papers. Papers exceeding 2 MB in size will be returned. Every paper received will be acknowledged. You may assume that any unacknowledged paper has gone astray.

     The organizers reserve the right to reject papers, which do not present information as cited in the abstract reviewed by the Paper Selection Committee.

4. REFERENCES

     References to published literature as for example: Ramesh R., Purvaja R., Ramesh, S. and James, R.A. (2002) Historical pollution trends in coastal environments of India. Environmental Monitoring and Assessment 79 (2): 151-176] are to be listed in a final section REFERENCES in alphabetical order, all but only the literature quoted in the paper shall be listed. The year of publication in parentheses must be placed after inclusion of the name(s) of author(s). Publication, volume, page range shall not be included in the text of the paper, but may optionally be included in the list of REFERENCES. In the final section of the paper REFERENCES books, reports, theses, etc. should include the author(s), year of publication, title of book, etc., editor(s) name, name of publisher and place of publication.
